Personal Information Protection Officer

Leverages Co., Ltd. (“us”, “we”, or “our”) will handle the personal information of those who applied for employment at our company (“Applicant(s)”) as follows.

Definition of “personal information”

Personal information is information on an individual which can identify the individual by name, address, telephone number, e-mail address, place of employment, date of birth, or other description, etc. that constitutes such information. In addition, personal information also includes information that cannot identify an individual by itself, but can be easily collated with other information to identify the individual as a result.

The purpose and scope of use of the obtained personal information are as follows:

・To contact Applicants;

・For our recruitment and selection of Applicants; and

・For any work related to or incidental to the foregoing work.

*Please kindly note that we may not be able to return some of the documents received by us.

Consequences for not providing personal information

If an Applicant does not provide requested information, we may not be able to consider the application of such Applicant.

Provision of personal information to third parties

If an Applicant does not provide requested information, we may not be able to consider the application of such Applicant.

(1) In principle, we do not provide any personal information of an Applicant to any third party without obtaining his/her consent. We provide personal information to a third party only in the case where we have specified the recipient and the contents of the information to be provided, and obtained the Applicant’s consent.

(2) We may provide the personal information of an Applicant without his/her consent if:

a. the provision of personal information is based on laws and regulations;

b. there is a need to protect the life, wellbeing, or property of an individual, and it is difficult to obtain the consent of the Applicant;

c. there is a special need to improve public wellbeing or promote healthy child development, and it is difficult to obtain the consent of the Applicant;

d. there is a need to cooperate with a national governmental body, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, and we have determined that the consent of the Applicant is likely to interfere with the performance of those functions;

e. we are required by the court, public prosecutors office, police, bar association, consumer affairs bureau, or any organizations vested with the authority equivalent to these to disclose the personal information of the Applicant;

f. we provide the personal information to a third party at the explicit request of the Applicant; or

g. the personal information is provided when we succeed to the business due to a merger or other such circumstances.

Outsourcing of processing of personal information

We may outsource processing of personal information in whole or in part within the scope necessary for achieving the purpose of use. In the case where we outsource processing of personal information, we will select an appropriate processor, and supervise appropriately to ensure that the personal information is processed safely.

Sharing of personal information

We will share the obtained personal information withing the companies of Leverages Group. The items of personal information to be shared include name, sex, address, telephone number, e-mail address, date of birth, experience, and career, etc. The group companies will use personal information within the scope stipulated in Paragraph 2. The information to be shared will be obtained by way of documents or electromagnetic media such as e-mail. The manager who is responsible for the shared personal information is Leverages Co., Ltd.

Procedures for requesting disclosure, etc. of disclosable personal information

(1) Procedures for requests

With regard to the disclosable personal information held by us, requests for notification of purpose of use, disclosure, correction, addition, deletion of the contents, cease of use, elimination, and suspension of provision to a third party (the “Request for Disclosure, etc.”) from the Applicant or his/her representative will be handled promptly in accordance with our prescribed procedures. Provided, however, that if responding to the Request for Disclosure, etc. would result in any of the following, we may not accept the Request for Disclosure, etc. after explaining to the Applicant or his/her representative that we are unable to accept the Request and the reason therefor:

a. if accepting the Request for Disclosure, etc. is likely to harm any life, body, property, or other rights or interests of the Applicant or a third party;

b. if accepting the Request for Disclosure, etc. is likely to seriously impede the proper execution of our business; or

c. if accepting the Request for Disclosure, etc. would violate laws and regulations.

If we delete or cease to use your personal information, you may not be able to use our services that you are currently using. We will also dispose of the personal information that is no longer necessary due to termination of our services in accordance with our rules.

(2)Certificates and other documents required in the procedures of the Request

(i) In the case of the Applicant himself/herself:

When making the Request for Disclosure, etc., please enclose a copy of one of the following identity verification documents. Unless the address is “same as” the registered domicile, please erase the registered domicile by blacking out or by other means.

– driver’s license;
– basic resident registration card;
– pension book;
– foreign resident registration card; or
– passport.

(ii) In the case of a representative:

If a representative is making the Request for Disclosure, etc., please submit the following identity verification document (copy) in addition to the document mentioned in (i) above. Please make sure that your current address can be verified and that the registered domicile portion is blacked out.

A. Legal representative

1. a document confirming that the legal representative has a legal representative right (a copy of family register, a copy of health insurance card, etc. with dependent(s) filled in for a person with parental authority); and

2. a document for verifying the identity of the legal representative (a copy of driver’s license or health insurance card of the legal representative).

B. In the case of a privately appointed agent

1. power of attorney; and

2. a document for verifying the identity of the representative (a copy of driver’s license or health insurance card of the representative).

We will use the personal information provided in the Request for Disclosure, etc. to the extent necessary to process the Request for Disclosure, etc. The identity verification documents or the representative verification documents received will be disposed of by appropriate means immediately after verification. The Disclosure Request Form for which a certain period of time has elapsed after the completion of procedures will also be disposed of by appropriate means.

(3)Where to file the Request for Disclosure, etc.

Please reach out to the following contact to make the Request for Disclosure, etc. After contacting us, please fill the required information in the designated form (Disclosure Request Form) that we will send you, and return it to us together with the identity verification documents listed in Paragraph 2 above. Among such requests, we do not charge any fees for notification of purpose of use or disclosure of personal information.
Responses to the Request for Disclosure, etc. will be mailed in written form to the designated address within fourteen (14) business days after receipt of the completed Disclosure Request Form and identity verification documents.

Obtaining personal information by a method which the Applicant cannot recognize easily

We may use technologies such as cookies and web beacons on this website for the purpose of improving usability of the website and obtaining statistical information such as access status, but the use of such technologies does not result in collection of any personal information that the Applicant has not provided.

(1) Cookies

a. What is a cookie?

A cookie is a mechanism that saves usage history, input contents, and other information sent and received between the browser and the server as a file on the Applicant’s computer when he/she uses a web page. The next time he/she accesses the same page, the page operator can use the cookie information to change the display for each user. If the user allows cookies to be sent and received in his/her browser settings, the website can retrieve cookies from his/her browser. For the purpose of privacy protection, the user’s browser only sends cookies sent and received by the website server.

b. Enabling of cookies

Users can select the settings for sending and receiving cookies from “Accept all cookies”, “Reject all cookies”, or “Notify user when cookies are received”, etc. The setting method varies depending on your browser. Please check the “Help” menu of your browser for how to set cookies.
Please note that if you select the settings to reject all cookies, you may be restricted from using various services on the Internet, such as not being able to receive services that require authentication.

c. What we do with cookies

We use cookies for the following purposes:

・to provide customized services for each user by referring to the stored user registration information when the user logs in to the authentication service;

・to display the most appropriate advertisement on the websites of other companies based on the content that the user is interested in and the usage status on our website;

・to investigate the number of users and traffic of our website;

・to improve our services; and

・to prompt users to re-enter their passwords (re-authentication) after a certain period of time has passed in order to maintain security.

Based on the arrangements with the websites of the companies to which we outsources distribution of our advertisements, we may store and use cookies via such companies’ websites.

(2) Web beacons

There are pages on our website that use web beacons for the purpose of obtaining statistical information on usage status of the website and improving our services. The information obtained using web beacons does not contain personally identifiable information.

(3) Individual identification numbers of mobile devices

The individual identification number of a mobile device is a number transmitted by the Applicant’s mobile device to distinguish the mobile device when accessing this website with the mobile device, and is used for access management and other purposes. The individual identification number does not include any information related to the Applicant’s privacy such as his/her mobile phone number, e-mail address, and name. In addition, the individual identification number alone cannot be used to identify the individual Applicants.
